Is an Event App Right for Your Group?

In our increasingly technological world, we have many opportunities to work smarter and faster when planning an event. One way to streamline your next conference or employee training meeting is by creating an app to handle registration, agenda, schedule, evaluations, menu selections and more. But, is it worth the time and cost?


For an app to be worth the expense, it must meet the needs of the target attendees, who must have smartphones. A group of technology savvy professionals will be more apt to use an app than older, more traditional attendees. Creating an app for a gathering of lawyers or CPAs, for instance, may have few users, where one designed for an IT professionals' conference may have great appeal. Even then, industry research indicates that only 60% of event attendees download an available app and only 10% of those who download it actually use it.

For an app to be worth the cost, you must be able to customize it to contain and capture the required data. It must also be easy to use and appealing, particularly to those who are only marginally tech savvy.

Creating an appealing app will be a waste of time and money if the conference or meeting venue lacks free WiFi with sufficient bandwidth in all areas where events will occur. Many hotels and conference centers are slow to introduce such technology. Be certain to check when booking the venue and well before developing the app.

Concerned about the cost of creating an app? If so, you might approach a technology company to sponsor the cost in return for the opportunity to place a discreet ad on the app and to advertise at the event.

As technology evolves, so must events and how they are managed, but not all technology is right for every event. Be sure you know your audience and do your homework.
